At Louisville Tourism, our success is built on collaboration. Each project we undertake is a team effort, and while we work together toward common goals, it’s important to clearly define roles, responsibilities, and expectations. This ensures smooth execution and maximizes our collective impact. Below is an outline of how the Marketing Team can support you and how we can work together efficiently.
Marketing Team’s Role
- Share your vision, and we’ll provide suggestions, vision boards, venue options, booth layouts, etc.
- We connect you with industry peers, organizations, venue contacts, and vendors.
- We are here to assist throughout the project, but each department should have a project lead that ensures execution.
Marketing Material Needs
- We design, execute, and/or approve all marketing and promotional materials. These could include but are not limited to, printed collateral, signage, digital assets, website updates, email blasts, newsletters, branded gifting or promo items, banners, and trade show backdrops.
Activation Assistance
- We will support the ideation & execution of activations.
- In some cases, marketing personnel may be able to provide ‘talent’ (tastings, demos, educational sessions); in other cases, you will want to hire talent (chefs, distillers, etc.). We will always be happy to provide you with a list of suggestions to work with.
Booth Needs
- Discuss your booth vision with your marketing representative, who will lead the design or the look and feel of the space (e.g., furniture, decor, graphics, signage, etc.).
- Your department lead should handle securing a signed scope of work for Deckel & Moneypenny booth (when applicable) or ordering all exhibitor services when not using D&M, coordinating all show shipments, and managing onsite booth set-up.
Event Execution
- The department lead schedules a kick-off meeting with marketing no later than eight weeks before the event date.
- We work with the department to provide a researched list of on-brand venues, help develop event themes & flow, and handle invites collateral and signage.
- The department lead will provide the final venue selection, manage contract(s) negotiations, budgeting, and final payments.
- Each department will be responsible for setting up (working with marketing on graphics) and managing the Events Force event page.
